APPLICANT SCREENING TEMPLATES

These templates are for US Property Management Services team members only. These templates are to aid in the efficiency and thoroughness of tenant applications for US Mgmt rental properties. 


Rental History Template

Email this template to the applicants rental history reference, listed in their application. In the subject line of the email, indicate URGENT, as we'd like to screen the tenant as quickly as we can for the tenants sake in finding a new home. Then enter the tenants FULL NAME, followed by RENTAL HISTORY. The subject line should state: URGENT [TENANT FULL NAME] RENTAL HISTORY. Then copy and paste the following message, and enter the previous landlord/management company and applicants name into the necessary areas.


Hello [Landlord],


Recently [Applicant] completed an application to rent a home that we manage, and stated that you were their previous Landlord. So that [Applicant] can receive a status update on their application as quickly as possible, we ask that you please answer the following questions about their tenancy with you.


- Are you aware that they're looking for another property to rent/ending your lease?
- Have they made all rent payments on time?
- Have there ever been checks submitted by [Applicant] that were declined or NSF?
- Is the [Applicant] ending their lease with you early?
- Has [Applicant] ever caused any issues within the community or caused any neighbor complaints?
- Has [Applicant] ever damaged the property they occupied in any way?
- Have you held any of [Applicant]'s deposits for any reasons?
- Would you rent to [Applicant] again?


Thank you for your time and cooperation, [Applicant], as well as our team greatly appreciates it.

Work History Template

Email this template to the applicants work/occupation reference, listed in their application. In the subject line of the email, indicate URGENT, as we'd like to screen the tenant as quickly as we can for the tenants sake in finding a new home. Then enter the tenants FULL NAME, followed by WORK HISTORY. The subject line should state: URGENT [TENANT FULL NAME] WORK HISTORY. Then copy and paste the following message, and enter the employer/co-worker and applicants name into the necessary areas.

Hello [Employer],
Recently [Applicant] completed an application to rent a home that we manage, and stated that you are their current employer/co-worker. So that [Applicant] can receive a status update on their application as quickly as possible, we ask that you please answer the following questions about their work relationship with you.


- Are you currently employing or working in the same office as [Applicant]?

- What does [Applicant] do at your office for work and what is their title?
- Would you recommend 
[Applicant] for a job at another company if you were asked?

- Does [Applicant] come into work regularly and on time?

- Does [Applicant] have any issues with any co-workers or cause trouble amongst the team?

- Has [Applicant] ever been requested to take time off for issues at work?
- Has [Applicant] ever damaged any equipment or stolen any items from the workplace?
- Would you be concerned about [Applicant]'s ability to make a monthly rent payment of [Monthly Rental Rate]?
- Is there anything we should know about [Applicant] that may affect their ability to make rental payments or care for a rental home?
